Connect QuickBooks

Bring your agency's own QuickBooks figures into aOS Analytics and reporting.

Connecting QuickBooks brings your own agency's accounting figures into aOS, so Agency Analytics and your reporting stay current without exporting anything. This is your books, not a client's — client sales channels are connected separately, per client.

Intuit grants app access as a single accounting permission rather than a list of separate read-only ones, so the approval screen reads broadly. aOS uses it to read your figures and reports.

Who can connect it

Owners and admins can connect QuickBooks, along with anyone who has the Manage integrations permission. Your account owner can enable that permission on any user in Settings.

You'll sign in to QuickBooks Online as part of the flow, using a login that can authorize apps for the company you're connecting.

Connect it

  1. Go to Settings → Integrations and find QuickBooks.

  2. Click Connect QuickBooks. You'll be taken to Intuit's sign-in page.

  3. Sign in, choose the company you want to connect, and approve access.

  4. You'll land on Agency Analytics.

Landing on Analytics rather than back in Settings is expected. The connection saved, and aOS starts pulling your figures straight away.

To check the connection at any point, go to Settings → Integrations, where you'll see ✓ Connected with your QuickBooks company name and the date.

When your figures appear

Right away: aOS starts a sync automatically the moment you connect, so recent figures build in the background with nothing for you to trigger. If Analytics looks empty the instant you land on it, give it a minute and refresh.

Your history: this is a step you run. Go to Agency Analytics → Setup, set the date you started using QuickBooks, and start the sync. aOS pulls a month at a time from that date forward.

Leave that page open while it runs. The sync works through your months one by one with a deliberate pause between each, because requesting everything at once hits QuickBooks' rate limits and fails. You'll see a progress count as it goes. Navigating away stops it partway.

Coming back later picks up where you left off rather than starting over, since months already pulled are skipped.

Choosing the company

QuickBooks lets you pick the company during sign-in, so whichever one you select on Intuit's screen is the one that connects. One QuickBooks company connects per aOS account.

Troubleshooting

"Connection failed — try again"
Click Connect and run through it again. This usually appears when the Intuit screen was cancelled, the session expired partway through, or Intuit didn't return a company.

"No permission to connect integrations"
Ask your account owner to connect QuickBooks for you, or to enable the Manage integrations permission on your user in Settings.

It says connected, but the Analytics tab is still empty

I connected the wrong company
Disconnect in Settings → Integrations, then connect again and pick the company you want on Intuit's sign-in screen.

Only recent months are showing
The history sync hasn't been run, or was interrupted. Go to Agency Analytics → Setup and start it, leaving the page open while it works through your months.

Figures have stopped updating
Check that Settings → Integrations still shows QuickBooks as connected. Access renews automatically in the background, so if the connection has dropped it usually means the authorization was removed on the Intuit side. Connecting again will pick it back up.

Disconnecting

Go to Settings → Integrations → QuickBooks → Disconnect.

Disconnecting clears the accounting data aOS has stored along with the credentials, and reconnecting later pulls your figures fresh.
